Using the Talk application on your instance

Overview.


The Talk application allows you to create conversations to which you can invite other users from your instance as well as external users. These discussions are text-based.


You can access the Talk application from the icon at the top left of the interface.


The presentation page allows you to view existing conversations on the left side of the screen, as well as various information (unread messages, reminders, etc.).



Create a conversation.


It is possible to create or join a public conversation. For this example, we will first create a new conversation.



The following information must be entered in order to create a new conversation:


  • Name: name of the conversation.
  • Description: informative description of the conversation.
  • Picture: illustration associated with this conversation that will be visible on the list on the left side of the interface.


The options under Conversation visibility are disabled by default. For this example, we will enable them to illustrate how they work.


  • Allow guests to join via link: a link can be shared with people who do not have an account on the instance so that they can join the conversation.
  • Password protection: the conversation is protected by a password that must be entered by people joining via the link.
  • Open the conversation to registered users...: the conversation will then be considered public and can be joined by any user from the search function. This feature is illustrated further down in the documentation.
  • Also open to users created with the Guests app.: Guest accounts will be able to access this conversation.



You can decide to create the conversation without adding any participants beforehand, or click on Add participants to select users from your instance who will join the conversation.


The interface allows you to search for a user using the search bar at the top, or select from the options provided: groups, contacts, or teams.


Groups are made up of users who are part of your instance.

Contacts are people whose contact details you have and who do not have an account on your instance.

Teams are made up of accounts that are part of your instance, but also external people based on their email address.



The conversation has been created, and the window will indicate that the link can be copied. If not, simply copy the URL of the discussion from your web browser to share it.



Joining a conversation as an external person.


An external person attempting to join a conversation from its URL will see this interface appear if the conversation is password-protected.



A name must then be entered in order to join the conversation.



Join a conversation as an instance user.


When a conversation is created to allow public access by other users of the instance, you can join it by clicking Join open conversations.



Public conversations are then listed so that you can join them by clicking on them and then on Select conversation.



On the right side of the interface, you will see the participants who have joined the conversation in different ways:


admin is the account that created the conversation.

user is an account created on the instance that was invited to the conversation when it was created.

user2 is an account created on the instance that joined the public conversation by searching for it.

External participant is an external person who joined the conversation from the link.

Using a conversation.


Now that the conversation has been created and participants have joined, you can interact with it.


At the bottom of the interface, there are several possible interactions. The + button allows you to:


Upload from device allows you to select a file stored on your device to send it to the conversation. This file will be accessible from the Talk directory in your data.

Share from Files sends a shortcut to a file already present in your data. Only participants with access rights to this file will be able to open it.

New document/spreadsheet/presentation allows you to create a new file according to the type chosen.

Create a new poll creates a poll that will be shared with participants in this conversation.

Smart picker offers other options.



A message can be written in the input bar and sent to other participants. They can interact with it.



A direct reply to a message can be written.



Other options can be selected by clicking on ..., some of which are reserved for moderators, such as deleting a message or editing another participant's message.



Conversation options.


The button ... to the right of a conversation allows you to select several options. A non-moderator participant cannot delete it.


These options allow you to:


Add to favorites: the conversation will automatically be placed at the top of the list.

Copy link: the conversation will be copied so you can share it with others.

Mark as unread: an unread message notification will be associated with the conversation.

Notifications: sub-options allow you to manage notifications associated with this conversation.

Conversation settings: opens a window allowing you to manage the conversation; these settings depend on the user's status (simple participant or moderator).

Archive conversation: the conversation disappears from the list and is only accessible from the Archived Conversations menu at the bottom left of the interface. It is possible to write or start a call in archived conversations.

Leave conversation: the account selecting this option leaves the conversation, but it remains accessible to other participants.

Delete the conversation: deletes the conversation. Shared files will still be available in the Talk directory among your data.
