Use the file versioning

Your drive supports a simple version control system for files.


Version Management


Version management automatically creates file backups accessible through the Versions tab in the Details sidebar.

This tab contains the file’s history, allowing you to restore it to any previous version.



The version management app automatically expires old versions to ensure the user does not run out of storage space.

The following model is used to delete older versions:

  • During the first second, keep one version
  • During the first 10 seconds, keep one version every 2 seconds
  • During the first minute, keep one version every 10 seconds
  • During the first hour, keep one version every minute
  • During the first 24 hours, keep one version every hour
  • During the first 30 days, keep one version every day
  • After 30 days, Nextcloud keeps one version per week

The versioning app never uses more than 50% of the user’s currently available free space.

If stored versions exceed this limit, Nextcloud deletes the oldest versions until the space limit is reached again.


When a version is named, it is excluded from the automatic expiration process.


Supported file types: jpg, png, pdf, docx, xlsx, pptx


What Happens If...?


Copying a File

  • Versions linked to the source file are also copied.
  • Copies are not affected by later version actions (rename, restore, etc.).


Sharing a File

  • The file’s version history is also shared.
  • When a user renames a version, the change is reflected across all shares (both initiator and recipient).
  • If a user restores a version, it is applied to all shares.


Sharing a Folder Containing Versioned Files

  • The file’s version history is also shared.
  • When a user renames a version, the change is reflected across all shares (both initiator and recipient).
  • If a user restores a version, it is applied to all shares.


How to Name a Version


  1. Click on the "..." to open the Details panel.

  1. In the details, select the Versions tab.

  1. Click on the "..." menu next to the version you want to name, then select Name this version.

  1. Enter a name and click Save version name.

Your named version will then appear in the list:


How to Restore a Version


Would you like to restore a previous version of your file?


  1. Click on the "..." to open the Details panel.

  1. In the details, select the Versions tab.

  1. Click on the "..." menu next to the version you want to restore, then select Restore version.
