Use the Contacts app on your instance

Introduction.


The Contacts application allows you to create contacts in order to store their contact details. These contacts can be grouped into contact groups.


It is also possible to create teams within this application, integrating users from your instance or external email addresses in order to facilitate sharing, for example.


This documentation illustrates how contacts and contact groups work.


Using the Contacts application and creating a contact.


To access the Contacts application, users must click on the application icon at the top left of the interface.



The interface displays your contact list. If you have not yet created any contacts, only your account will appear. For this example, we are using a user named admin.


New contacts can be created manually or imported from a file. In the first case, click on the New Contact button and enter the contact's information before saving. In this example, we are creating a contact named Contact 1.


Creating a contact does not imply creating a new user on your instance. If you want to create a new user, here is the documentation to follow.



The information does not have to be entered, but you can display more by clicking Add more info



Once the contact has been saved, it will appear in your list. You can edit their information by clicking on the Edit button or open other options by clicking on ..., these options allow you to:


Download: download your contact to a .vcf file

Generate a QR code: generate a QR code that can be scanned from another device to save the information for the contact you created earlier.

Exclude contact from birthday calendar: the contact will no longer appear on the birthday calendar. To change this, you can select the option again, which will now be called Add contact to birthday calendar.

Delete: deletes the contact.



Contacts can be imported by clicking on Contact Settings at the bottom left of the interface, then Import Contacts.



You can then select a local file or a file stored on the drive.



Creating a contact group.


Now that several contacts have been created, we can create a new group by clicking on the + button and then on the arrow after entering the name of the group. For this example, we will use Contact Group 1.


These groups allow you to group several contacts together.



The interface asks us to select existing contacts. We select the two contacts shown here and confirm by clicking Add to Contact Group 1.



Your group appears under the Contact Groups section, and you can interact with them by clicking on the icon ...


Deleting the group does not delete the contacts; they can still be found in All Contacts.



In addition to contact groups, it is also possible to create Teams. These teams allow you to bring together users from your instance as well as external contacts.
