Manage Guests application

Introduction.


The administration settings for the Guests application allow you to authorize or deny guests access to certain resources on your instance. Guests are accounts that can log in to your drive but do not have a quota.


Administration of the Guests application.


To access the Guests application, instance administrators must go to Administration settings, then Guests.



These settings, accessible to instance administrators, are as follows:


Hide other accounts from guests: when enabled, this option prevents guests from seeing other guests' accounts.

Limit guest account creation to the following groups only: allows you to authorize the creation of guests only for certain groups that already exist on your instance.

Limit guest access to an app's allowlist: this option allows you to make applications installed on your instance accessible or not accessible to guests. The Reset authorization list button restores this setting to its default value.

Guest accounts: this is where guests created on your instance appear.


The application list allows you to authorize access to the following applications:


Activity: allows access to the Activity application.

Approval: allows you to view the approval status of a file.

Calendar: allows access to the Calendar application.

Circles: allows access to teams.

Comments: allows access to comments on files.

Contacts: allows access to the Contacts app.

Deck: allows access to the Deck app.

Files_automatedtagging: allows automatic tagging of files.

Files_downloadactivity: allows access to file download activity.

Files_lock: allows file locking.

Files_pdfviewer: allows PDF files to be read.

Files_Reminders: allows file reminders.

Files_Retention: allows files to be automatically deleted after a set time.

Files_sharing: allows file sharing to be created.

Files_trashbin: allows access to the trash bin.

Files_versions: allows access to file versions.

Flow_notifications: allows notifications to be configured with custom flows.

Forms: allows access to the Forms application.

Groupfolders: allows access to team folders.

Notes: allows access to the Notes application.

Notifications: allows notifications.

Onlyoffice: allows files on the drive to be opened with the OnlyOffice suite.

Password_policy: allows configuration of the password policy.

Photos: allows access to the Photos app.

Profile: allows access to the profile.

Sharebymail: allows sharing via email.

Spreed: allows access to Talk.


Enable a new application for guests.


As explained previously, guests have limited access to applications. By default, they can only access the dashboard, files, photos, and activity.



It is possible to enable or disable other applications for them, such as Talk. To do this, go to administration settings then Guests, where the spreed (Talk) application can be enabled.



The guest will now find the Talk application on their interface.



Attempt to access a resource not authorized for guests.


When an item is shared with a guest but the guest does not have permission to access that resource, the following error message appears.



For example: a guest has been created to allow them to access a .pdf file. When they log in, the .pdf file is visible.


However, if the Files_pdfviewer option is not enabled in the administration settings, the file cannot be opened.


You must therefore go to the administration settings of the instance, then to Guests to enable the necessary applications from the list provided above.
